Rental Truck Program

The Rental Truck Program, governed by the U. S. Government Truck Rental Agreement [PDF, 18 pages], provides pickup, cargo van, utility, and commercial straight truck rentals for authorized military members and federal employees during official travel. The program eliminates fees for liability coverage, collision and loss damage waivers, and underage driver fees. It also establishes competitive ceiling rates and ensures travelers receive vehicles less than five years old. Other program benefits include:

  • Secured government rates for Federal Employees — Reservations can be made through your Travel Management Company, rental truck company, by phone, or in-person.
  • A variety of rate options, including rates with unlimited mileage, rates with mileage charges, and rates or fees for one-way rentals.
  • No blackout dates or minimum rental periods.
  • Collision Damage Waiver/Loss Damage Waiver and Liability coverage provided for personal injury, wrongful death and property damage.
  • Minimum age for truck rental is 21 years.
  • Rates remain unchanged and the terms of the Agreement continue to apply to alternative vehicles (e.g. in the event the reserved rental truck is not available at time of pick-up and the company chooses to provide an alternative.)

If you've been in an accident, make sure you've done the following:

  1. Obtain a Police Report

    Notify the police and attempt to obtain a police report. If unavailable, complete a Vehicle Incident Report with the rental company that includes a description of the accident and the contact information for all parties involved, including the name of the rental car company representative who assisted you.

  2. Contact your Rental Company Directly

    Before submitting a request for assistance, report the problem or accident and keep a record of who you spoke with, what number you called, and the date and time.

  3. Notify your Organization

    Contact your authorizing official, supervisor, commander, or your legal or claims office to report the issue.

  4. Notify Us

    Collect the required documents, upload them to the Rental Vehicle Assistance Tool [authentication required], and record your case number. An action officer will follow up with you.

If “GARS” is listed on your rental contract, you are covered in an accident unless the vehicle was used in an unauthorized manner.

The Defense Travel Management Office supports federal travelers with rental truck/car customer service matters and in the event of an accident. Use the Rental Vehicle Assistance Tool to report an issue or an accident [login required], or to leave feedback on a rental experience.

The Tool should NOT be used to file a claim against the government either by a third party, or by the rental agency. All renters should first attempt to resolve issues directly with the rental company.
